Privacy Policy

1. Who we are

MotivaLogic Career Agent ("MLCA", "we", "us") is a job placement platform operated by MotivaLogic Academy for the benefit of its students and graduates. This policy explains what personal data we collect, why, and how it is handled.

2. Data we collect

• Account data: name, email address, and password (stored as a salted hash, never in plain text).
• Profile data: skills, certifications, preferred job titles, preferred locations, work mode preference, work/visa status, bio, education, and years of experience.
• CV/résumé files: the document you upload (PDF or Word), stored securely, plus the structured information (skills, job titles, summary, education, certifications) our AI extracts from it.
• Application activity: jobs you view or apply to, match scores, and AI-generated content you request (tailored CVs, cover letters, interview prep), so it can be saved to your application history.
• Technical data: basic usage logs (e.g. daily AI usage counts) needed to operate rate limits and diagnose issues.

3. How we use your data

• To match you against relevant job listings and show you why a job is or isn't a good fit.
• To generate AI-assisted content you explicitly request — CV tailoring, cover letters, and interview preparation — using your profile and the job description as input.
• To extract structured information (skills, titles, education) from CVs you upload, which you then review and choose to import into your profile.
• To send you account-related emails: password resets, application status updates, and (where relevant) new job match alerts.
• To enforce fair-use limits on AI features so the service remains free and available to all students.

4. AI processing and third parties

When you use an AI feature (CV parsing, CV tailoring, cover letter generation, or interview prep), the relevant parts of your profile and the job description are sent to OpenAI's API to generate the result. We do not sell your data, and we do not share it with employers or third parties except as described here or where you explicitly submit an application through the platform. We may also use third-party job board APIs (e.g. Reed, Adzuna) to source job listings, but this is one-directional — your data is not sent to these providers.

5. Data retention

We retain your account and profile data for as long as your account is active. Uploaded CVs are stored until replaced by a newer upload or until you delete your account. You can request deletion of your account and associated data at any time by contacting us (see Section 8).

6. Your rights

Depending on where you are located, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can update most of your profile data directly from your dashboard at any time, or contact us to exercise any of these rights.

7. Security

Passwords are hashed (never stored in plain text). Data is stored in a managed PostgreSQL database with access restricted to authorized administrators. Password reset links and tokens are single-use and expire after one hour.
